Invite members at any time, assign roles that match their responsibilities, and adjust access as your team grows. The level of control you have over roles and permissions depends on your plan.

Invite team members

1

Open workspace settings

Click your workspace name in the top-left corner and select Settings.
2

Go to Members

Click Members in the Settings sidebar to see your current team roster.
3

Send an invitation

Click Invite members, enter email addresses separated by commas, select a role, and send. You can invite multiple people at once.
4

Member joins

Each person receives an email with a link to join. Once accepted, they appear in your Members list with the role you assigned.
Team members cannot sign up independently — they must be invited by a workspace admin.

Roles and permissions

Foundational access controls. Designate members as admins or standard members — no custom roles or per-project permission configuration.
RoleWhat they can do
AdminFull access to workspace settings, members, billing, and all projects
MemberAccess to assigned projects — cannot manage settings or invite others

Change a member’s role

1

Open Members settings

Go to Settings → Members.
2

Find the member

Use the search field to locate them if your team is large.
3

Update their role

Click the role badge next to their name, choose the new role. The change takes effect immediately — no logout required.
Changing a role can immediately restrict access to projects or settings. Make sure you intend the change before confirming.

Remove a member

1

Open Members settings

Go to Settings → Members.
2

Open their menu

Click the three-dot menu () to the right of their name.
3

Remove them

Select Remove from workspace. Access is revoked immediately. Tasks assigned to them remain in place — reassign from the project view.
Removing a member doesn’t delete their contributions, comments, or task history. Everything they worked on stays visible in the workspace.

Tips for larger teams

Decide which roles you’ll use before you start inviting. Retroactively adjusting roles across a large team is painful. Document what each role can do so new admins apply the same standard.
Only grant Admin or Super Admin to people who genuinely need to manage settings or billing. For most team leads, Manager with project-level control is enough.
Review Members after contractor engagements or team changes and remove anyone who no longer needs access. On Business, use audit logs to track who accessed what.
Guest roles let you share specific projects with clients, contractors, or partners without giving them broad workspace access. Keep guest access scoped to only what they need.
If your team uses titles like “Designer” or “Account Manager” with consistent responsibilities, create custom roles with those names. Makes it faster for admins to assign the right permissions at a glance.
