Fluorine is built for teams handling sensitive client work, internal roadmaps, and confidential communications. Your data is protected with industry-standard encryption and access is controlled through the roles and permissions you configure for your team.

Encryption

Data in transit

All connections between your device and Fluorine use TLS. Messages, task content, file uploads, and API requests are protected from interception as they move across the network.

Data at rest

Tasks, projects, files, and messages are encrypted on Fluorine’s servers using industry-standard encryption. Without the correct decryption keys, your data is unreadable even in the event of unauthorized server access.

Role-based access controls

Access controls determine who can see, edit, or manage content in your workspace. Fluorine’s permission system scales with your plan.
Distinguish between admins (who manage the workspace and settings) and members (who access assigned projects). Standard members cannot modify workspace configuration, billing, or the member roster without admin privileges.
Define what each person can do at the project and workspace level. Manager, Member, and Guest roles give you precise control over who can create projects, assign tasks, invite others, or view only. Guest access lets you share specific projects with clients or contractors without exposing your broader workspace.
Create custom roles tailored to your org structure. Super Admins access audit logs to track who did what and when. Per-project permission overrides let you lock down sensitive projects independently from workspace-wide role settings.
Limit who has Admin or Super Admin access. Most team leads only need Manager with project-level control — fewer admins means a smaller attack surface.

Backup and restore

Available on Pro and Business plans. Fluorine automatically retains copies of your workspace data so you can recover from accidental deletions or data issues without losing work.
Backup and restore is not available on the Starter plan. If data recovery is important to your team, consider upgrading to Pro or Business.
To recover a deleted project, task set, or other content, contact Fluorine support to initiate a restore.

File versioning

Available on all plans. Every time a file is updated or replaced, Fluorine retains the previous version. Two reasons this matters:
  1. Recovery — Restore an earlier version if a file is accidentally overwritten or corrupted
  2. Audit trail — See who uploaded which version and when, useful for tracking changes to deliverables, design assets, or shared documents

How access controls prevent unauthorized access

Role-based permissions work as a defense-in-depth layer on top of encryption. Even if someone gains authenticated access through a shared device or compromised account, role restrictions limit what they can actually do:
  • Members only see projects they’ve been explicitly assigned to
  • Guests (Pro and Business) can only access the specific projects shared with them — they can’t browse the rest of your workspace
  • Only admins can modify workspace settings, change billing, or manage members
  • On Business, audit logs let you detect unusual access patterns by reviewing who accessed sensitive areas and when

Security best practices

Remove people from the workspace immediately when they leave your team or finish a contract. Stale accounts with active access are one of the most common sources of unauthorized data exposure. Review your Members list after every team change.
Assign the minimum permissions each person needs to do their job. If someone only needs to view a project, use Member or Guest — not Manager. Avoid giving everyone admin access for convenience.
Restrict guest access to only the projects external collaborators need. Review guest members separately from your core team and remove them as soon as the engagement ends.
Audit logs give you a chronological record of actions in your workspace. Review them periodically to catch anything unexpected — a member accessing a project they shouldn’t, or admin actions at unusual times.
Fluorine’s access controls assume accounts themselves are secure. Use a strong unique password and encourage your team to do the same. A password manager makes this easy.
